HR Admin &Executive Assistant

Overview:  
We are seeking an HR Admin & Executive Assistant to join our Team. We are offering a high-potential individual the opportunity to be the right hand of the VP Strategy and be at the center of the action in the Human Resources department. The selected candidate will work closely with managers and employees, and make a real impact on the organization and the Israeli innovation ecosystem as a whole.

Working hours: 09:00-18:00 full-time

Location: Tel-Aviv (Hybrid)

 

Roles and Responsibilities:

  • Back office support for the HR department – responsibility for all HR related administrative processes (Finance, Legal, SAP, and HR Events coordination).
  • Management of operational processes for HR activities such as onboarding and offboarding.
  • Managing our HR Database on Hibob and Excel and Employing Teamwork, Slack, and other platforms to document and keep track of the progress and status of employees, suppliers, and all external organizational factors.
  • Supporting HR processes e.g., welfare activities, recruitment, and training
  • Managing the VP’s calendar: arranging appointments and conference calls (both internal and external). Using judgment when scheduling meetings, determining purpose, urgency, and minimum time required.
  • Preparing and submitting expense reports on behalf of the VP and ensuring all documents are prepared ahead of meetings.
  • Coordinating and managing travel arrangements, taking care of invoices, and working with the SAP budget approval system.

 

Qualifications:

  • Minimum 3+ years experience in Administrative Assistant/operations role
  • Former experience in HR Administration- advantage
  • Fluent English (management of corporate communication in English)
  • High-level competency with Microsoft Office Suite
  • Excellent organizational and interpersonal skills.
  • Ability to multi-task on various projects and initiatives while remaining detail oriented
